Key takeaways

  • Every chatbot has three cost layers: the one-time build, a platform or hosting fee, and usage (AI model charges, plus Meta's message fees if it runs on WhatsApp).

  • A custom assistant trained on your business is usually a one-time build of $1,000–$3,000 for a website chatbot and $3,000–$7,500 for WhatsApp, more when it connects to booking, CRM or order systems.

  • AI usage is usually the smallest line: at published late-2026 model prices, a typical customer conversation costs from under a cent to a few cents.

  • WhatsApp is billed per delivered message. Since October 1, 2026, replies inside the 24-hour service window are free only for the first 1,000 per number each month, and Meta does not currently deliver marketing templates to US numbers.

  • Integrations, channels and the amount your bot must know move the price far more than the AI model does.

An AI chatbot used to mean a scripted pop-up that answered three questions badly. In 2026 it can answer from your own services, prices and policies, capture a lead and book an appointment, on your website or in WhatsApp. The price range has stretched just as far, from a free starter plan to a five-figure custom build. This guide breaks down what US small businesses actually pay, which costs come back every month, and how to set a budget that matches what the bot needs to do.

The three layers of chatbot cost

Every chatbot quote, whether it comes from a software vendor or a development team, is some mix of three layers. Separating them is the fastest way to compare offers that look nothing alike:

  • Build: the one-time work of setting up the assistant, loading your business information, writing the conversation flows and handoff rules, and connecting your tools.
  • Platform: a monthly subscription for a chatbot product, or hosting for a custom assistant. Some vendors charge per seat, others per resolved conversation.
  • Usage: the AI model's charges for every message it reads and writes, plus Meta's per-message fees if the assistant runs on WhatsApp.

Low-cost monthly tools tend to put the cost into usage and per-resolution fees, while custom builds put it into the one-time build. Neither is wrong. The right choice depends on your volume and on how closely the bot needs to fit the way your business works.

Typical 2026 price ranges

Here is how the main routes compare for a US small business. Platform figures come from vendors' published pricing pages; the custom build ranges are the budget bands we use with our own clients.

Most of the spread inside each row comes from the same few drivers: how many channels the bot runs on, how much it has to know, and which of your systems it has to talk to. The sections below break those down so you can place yourself on the range instead of guessing.

Monthly running costs, line by line

The build is paid once. These lines arrive every month, so ask for an estimate of each one in writing before you commit:

  • AI usage: model providers charge per token, roughly per word the model reads and writes. At published late-2026 prices, a typical support conversation costs well under a cent on smaller models and a few cents on the most capable ones, so a few thousand chats a month usually adds up to somewhere between a few dollars and a couple of hundred dollars.
  • Hosting: a custom assistant needs a server and usually a small database for its knowledge base, a modest line similar to hosting a business website.
  • WhatsApp fees: Meta bills per delivered message, at rates set by the message type and the customer's country (details in the next section).
  • Platform fees: if you use a vendor product, its subscription, seats and any per-resolution charges.
  • Care: someone should review conversations, fix weak answers and keep prices and policies current. Budget a few hours a month, in-house or with your developer.

A useful habit: ask every vendor to estimate your monthly bill at your current volume and at double it. Usage-based pricing is cheap when you are small and can surprise you as you grow.

What WhatsApp adds in the US

WhatsApp chatbots run on Meta's WhatsApp Business Platform, which has its own pricing on top of your build. Since July 1, 2025, Meta charges per delivered message instead of per conversation, with rates that depend on the message category (marketing, utility, authentication or service) and the recipient's country.

Two recent changes matter for US businesses. First, from October 1, 2026, Meta charges for service messages, the replies you send inside the 24-hour window after a customer writes to you, once a business number goes past 1,000 of them in a month. Before that date they were free. Second, Meta's documentation states that WhatsApp does not currently deliver marketing template messages to people with US phone numbers, a pause that began in April 2025. Utility messages, such as order updates and appointment reminders, and verification codes still deliver normally and cost a fraction of a cent each in the US.

In practice, WhatsApp in the US is a strong channel for answering customers who message you first and for transactional updates, and a weak one for promotional campaigns. If you mostly need to reach people who have not written to you, email or SMS may be the better fit.

What drives the build price up or down

Six things decide where a custom chatbot lands within its budget band:

  • Channels: a single website chat window is the simplest build. Each extra channel, such as WhatsApp, Instagram or SMS, adds setup, testing and message templates.
  • Knowledge: a 20-question FAQ is quick to load. Hundreds of products, policies or documents need a proper knowledge base so answers stay accurate.
  • Integrations: booking into a live calendar, creating CRM records, looking up orders or taking payments is where most of the engineering time goes.
  • Handoff: deciding when a person takes over, and routing the chat to the right one with the full history, takes design work but prevents the worst customer experiences.
  • Languages and tone: a second language, or a carefully matched brand voice, means more writing and more testing.
  • Compliance: healthcare, finance and legal businesses need extra care with data, disclaimers and the topics the bot must never answer.

Two costs that never appear in a price table

These do not show up on an invoice, but they decide whether a chatbot helps your business or hurts it:

  • Accuracy: you are responsible for what your chatbot tells customers. In Moffatt v. Air Canada (2024), a Canadian tribunal held the airline liable after its website chatbot described a bereavement fare policy incorrectly. Testing answers against real customer questions before launch, and keeping the bot to your own information, is part of the cost, not an extra.
  • Disclosure: California's bot disclosure law makes it unlawful to use a bot to mislead people about its artificial identity in order to drive a sale, unless the bot is clearly disclosed. The simplest policy everywhere is to say up front that customers are chatting with an AI assistant and to offer a person on request.

How to set your budget

Work backwards from the job the chatbot has to do, then match it to a budget band:

  • Answer common questions and capture leads on your website: usually $1,000–$3,000.
  • Do the same on WhatsApp, with bookings or order updates: usually $3,000–$7,500.
  • Connect to your CRM, booking or order systems, or run several channels from one assistant: $7,500–$15,000 and up.
  • Then add twelve months of running costs (AI usage, hosting, WhatsApp fees and a few hours of care a month) before you compare offers.

If you are not sure which band fits, that is normal. Our AI solutions overview shows what each kind of assistant does, and the AI chatbots service page explains how we build and test them. Frequently asked questions

How much does an AI chatbot cost per month?

After the build, most small businesses pay for hosting, AI usage and, on WhatsApp, Meta's message fees. At small-business volumes that is typically a few tens of dollars to a few hundred dollars a month. Vendor tools add a subscription, and some charge around $1 per resolved conversation, which grows with your volume.

Is a WhatsApp chatbot more expensive than a website chatbot?

Usually, yes. The build includes Meta's business verification, message templates and testing on a second channel, and the running costs include Meta's per-message fees. In the US, its main job is answering customers who message you first, because Meta does not currently deliver marketing templates to US numbers.

Can I use a free chatbot tool instead?

For a short list of simple questions, yes. Free and low-cost tools struggle when answers depend on your own prices, availability or policies, or when the chat needs to book, update a CRM or hand off to a person. That is where a custom assistant earns its cost.

How long does it take to build an AI chatbot?

A website chatbot is usually live in two to four weeks. WhatsApp assistants and bots connected to booking or CRM systems typically take four to eight weeks, mostly for integration and testing.

Who is responsible if the chatbot gives a wrong answer?

Your business is. Tribunals have treated a company's chatbot as part of its own website, so test it against real customer questions, keep it to your own information, and route anything it is unsure about to a person.
